One of the holy grail points at LockNet we like to hammer home when it comes to key systems has to do with how the company plans on how to handle the policies and procedures. This can be a daunting task and can often overwhelm the buyer before they even get started.

So, today I thought I’d give you a little rundown of things you should keep in check when it comes to your key system policies and procedures.

Figure Out Your Stance on Key System Policies and Procedures

Some companies step into the game already having an idea of how they want to run their key system and that includes how they plan to have their policies and procedures. Other companies don’t have a clue.

Whichever side you’re on, you definitely need to have a plan in place with your key vendor before all is said and done.This starts with asking some questions such as:

  • What is the process for placing key orders?
  • When keys are lost or stolen, how do you want employees to report that?
  • If an employee is terminated, how will you go about handling rekeys?
  • When should a rekey be classified as an emergency as opposed to a standard work order?
  • How many keys should be issued per store?

We always suggest writing these down so you don’t blank when the key vendor puts you on the spot. Granted, if you have a good key vendor, they’ll be able to assist you with these questions along with coming up with any other they see that might help you with your particular system.

Once you have a foundation of questions laid out, your key vendor will help you go more in-depth to solidify more details. He or she might think of certain issues that could arise in your particular situation.

A knowledgeable key vendor is priceless; they’ll be your best friend as you work to get all of your policies and procedures into place over time.
